Daily Workflow
These routines keep your data accurate without overwhelming your schedule.
Daily Routine (5 Minutes)
Section titled “Daily Routine (5 Minutes)”Complete these tasks each day to maintain current data.
1. Add New Transactions
Section titled “1. Add New Transactions”Record expenses and income as they occur.
- Open Transactions
- Click Add Expense or Add Income
- Fill in amount, category, account, and description
- Save
Tip: Use the mobile view for quick entry while shopping.
2. Review Uncategorized Items
Section titled “2. Review Uncategorized Items”Check for transactions missing categories.
- In Transactions, filter by category “Uncategorized”
- Select a transaction
- Assign the correct category
- Save changes
3. Check Dashboard for Anomalies
Section titled “3. Check Dashboard for Anomalies”Scan the Dashboard for unexpected totals.
- Verify spending aligns with your memory
- Confirm account balances look correct
- Note any duplicate transactions
Weekly Routine (15-20 Minutes)
Section titled “Weekly Routine (15-20 Minutes)”Complete these tasks once per week, ideally on the same day.
1. Review Budget Status
Section titled “1. Review Budget Status”Check which categories are approaching limits.
- Open Budget
- Review categories with warning indicators (yellow) or exceeded limits (red)
- Adjust spending for the remainder of the week if needed
- Consider increasing limits for categories that consistently exceed budgets
2. Reconcile Account Balances
Section titled “2. Reconcile Account Balances”Match Allowealth balances with external statements.
- Open Accounts
- Compare each account balance with your bank or credit card statement
- Investigate discrepancies by checking for:
- Missing transactions
- Duplicate entries
- Incorrect amounts
- Add or correct transactions as needed
3. Categorize Bulk Transactions
Section titled “3. Categorize Bulk Transactions”Clean up any accumulated uncategorized items.
- In Transactions, use filters to find uncategorized items
- Use bulk selection for similar transactions
- Apply the correct category to all selected items
Monthly Routine (30-45 Minutes)
Section titled “Monthly Routine (30-45 Minutes)”Complete these tasks at month-end or month-start.
1. Close the Previous Month
Section titled “1. Close the Previous Month”Finalize the month’s financial record.
- Open Reports
- Switch to the previous month view
- Review income versus expenses
- Note any significant variances from budget
- Export a CSV backup if desired
2. Plan Next Month’s Budget
Section titled “2. Plan Next Month’s Budget”Adjust budgets based on upcoming expenses.
- Open Budget
- Navigate to the new month
- Copy last month’s budgets (click Copy to Next Month)
- Adjust categories for known changes (holidays, insurance payments, etc.)
3. Review Trends
Section titled “3. Review Trends”Analyze longer-term patterns.
- Open Reports
- Switch to Yearly view
- Compare current month to previous months
- Identify spending trends that need attention
4. Archive Old Accounts or Categories
Section titled “4. Archive Old Accounts or Categories”Clean up unused items.
- Review accounts you no longer use
- Close inactive accounts (this preserves historical data)
- Archive categories you no longer need
Multi-User Workflows
Section titled “Multi-User Workflows”When multiple people share a workspace:
- Each user adds their own transactions
- Tag transactions with descriptions for clarity
Weekly
Section titled “Weekly”- Designate one person to review and categorize shared expenses
- Hold a brief sync meeting to discuss budget status
Monthly
Section titled “Monthly”- Review reports together
- Adjust shared budget categories
- Plan for upcoming shared expenses
Common Issues and Solutions
Section titled “Common Issues and Solutions”Totals Look Incorrect
Section titled “Totals Look Incorrect”Symptoms: Dashboard shows wrong balance or spending amount
Solutions:
- Check for duplicate transactions (search by amount)
- Verify transaction dates fall in the correct month
- Confirm account currency matches the transaction currency
- Check that transfers appear in both accounts (if applicable)
Too Many Uncategorized Transactions
Section titled “Too Many Uncategorized Transactions”Symptoms: Large percentage of transactions lack categories
Solutions:
- Create clearer category names
- Set up recurring transactions for regular merchants
- Import transactions with category mappings from your bank
Budget Alerts Feel Wrong
Section titled “Budget Alerts Feel Wrong”Symptoms: Categories show exceeded budgets but spending seems normal
Solutions:
- Check for duplicate transactions inflating totals
- Verify the budget amount is realistic
- Confirm transactions use the correct category
- Adjust budget limits for categories that consistently trigger alerts
Time-Saving Tips
Section titled “Time-Saving Tips”- Use recurring transactions for monthly bills and subscriptions
- Import bank data weekly instead of manual entry
- Set up category rules by consistently using the same descriptions
- Use bulk edit for transactions from the same merchant
- Export data monthly for external backup
Checklist
